Position Summary:
The Executive Administrative Assistant to the Director of VGTI Florida will perform a wide range of duties that require confidentiality, diplomacy, and sound judgment, analytical and decision-making skills. This administrative position promotes cohesiveness to achieve VGTI Florida goals and establish and maintain effective relationships with the scientific community, administrative and executive offices and local community.
Duties:
- Maintain institute Director’s complex calendar, including scheduling appointments and meetings, and answering phone diplomatically
- Prepare original correspondence and maintain files; manage a significant volume of transactions
- Review incoming correspondence and initiate responses as appropriate; route matters requiring action by staff and other organizations and follow up
- Review outgoing correspondence, edit for procedural and grammatical accuracy, conformance to general policy and factual correctness
- Prepare and process documents and transactions, reviewing for accuracy and completeness, and update information and/or evaluate against institute guidelines
- Review and edit proposals, involving multiple parties of diverse scope
- Familiarity and understanding of compliance regulations in all areas of research administration
- Arrange domestic and international travel for Director and visitors, including expense reports
- Interface with various functional areas, labs and outside collaborators
- Prepare high quality presentations, reports, and other documents using word processing, spreadsheet and presentation software packages
- Develop, recommend and implement administrative procedures
- Maintain extensive internal/external interactions with senior staff, candidates, collaborators, guest speakers, and vendors
Qualifications
- Minimum of 5 years of senior level administrative support experience or a combination of highly relevant work experience and 2 years of training in similar environments
- Requires thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in research environment
- Non-profit experience highly preferred
- Familiarity with matters related to scientific research and non-profit environments, financial conflict of interest, grants, etc.
- Strong organization and communication skills and customer service focus across broad and diverse subject areas
- Advanced knowledge of Word, Excel, PowerPoint and database software
- Ability to make independent decisions or solve problems by using logic to identify key facts, explores alternatives, and proposes appropriate solutions
- Superior organizational skills and advanced travel planning skills
- Excellent verbal communication skills, demonstrated by the ability to speak clearly, concisely and effectively; listen to and understand information and ideas as presented verbally; and communicate information and ideas clearly
- Must be flexible with the ability to juggle varying priorities and comfortable working in a dynamic high energy, fast-paced environment
Education Requirement:
- BS/BA required
- MS/MBA/MPH preferred
